For the purposes of this notice, “website” means www.musmus.com.

The type of personal information we collect

We currently collect and process the following information:

  • Personal identifiers: name, address, age, telephone number, email address
  • Via the website we may also collect IP address, device number, plus other statistical data that is captured by cookies

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you via the website or where applicable via email for one of the following reasons:

  • For any memberships and to provide you with the access and services that you are to as part of that membership
  • To respond to any query or complaint whether via the website, email or correspondence
  • To permit, monitor and regulate user comments on pages and posts of the website where they are permitted
  • To process any payment or donation including any refund where applicable
  • To provide you with details, updates or changes to the website, any membership or other services we offer via the website
  • To ascertain any interest in any additional services that we may look to offer

We may share this information with:

  • Any subcontractors or third party service providers we use to for the provision of the services, for example we may provide access to personal data to a web developer.
  • With any payment provider to process any payment and/or answer any queries.
  • Any regulatory body such as HMRC to process any payments or donations.
  • The police where we believe that a crime has been committed or may be committed.
  • With any medical practitioner like a paramedic or GP in the event of health emergency or incident.

Under the Data Protection Act 2018 and UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

  • Your consent. You are able to remove your consent at any time. You can do this by contacting us using the website’s contact form
  • We have a contractual obligation.
  • We have a legal obligation.
  • We have a vital interest.
  • We have a legitimate interest.

How we store your personal information

Where applicable, physical or paper records may be scanned and then stored safely online via third party providers such as Microsoft One Drive. If scanned all paper records will be destroyed. Paper records will be held in a local filing system.

Your electronic records submitted via the website are stored on servers provided by our website provider Tagadab/Simply Hosting and their servers are located in the UK.

We will keep your personal data for as long as you are a member and for any period that we are required thereafter as matter of law (normally no more than 7 years).

We will then dispose your information by destroying any paper records or deleting any electronic records where it is commercially feasible to do so.

BackupsAt the date of this notice, backups of the website that will include personal data is bundled together meaning it is not possible to delete any specific personal data other than through iterations of the back-ups. For example a daily back-up that is kept for 7 days means that it may take up to 7 days before any personal data deleted.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances. This will be limited to deletion from any front end (from Outlook, or website dashboard etc) and will not affect any back-ups which will be done on an iterative basis ie the personal data record will eventually be deleted after the backup is replaced.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
